This policy explains what personal information we collect when you contact us, why we hold it, and the rights you have over it.

1. Who we are
Moorgate Metals is a business name of Samanta Factory Ltd, a company registered in England and Wales (company number 15958521), whose registered office is 13 Hanno Close, Wallington, England, SM6 9BZ. Samanta Factory Ltd is the data controller for the personal information described in this policy.
For any question about this policy or your personal data, contact us at sales@moorgatemetals.com.
2. The information we collect
We collect only what you give us and what our hosting provider records automatically.
- Information you provide in our enquiry form — your name, company, email address, telephone number, the nature of your enquiry, the material it concerns and the details of your message.
- Information you send us directly — the contents of emails or messages you send to us, and any documents you choose to share.
- Technical information — our hosting provider records standard server information such as IP address, browser type and pages requested, for security and to keep the site running. We do not use this to identify you.
We do not collect special category data, and we ask that you do not send us sensitive personal information through this website.
3. Why we use it, and our lawful basis
- To respond to your enquiry and to trade with you — our lawful basis is your consent when you submit the form, and our legitimate interests in responding to business enquiries and carrying on our trade.
- To carry out counterparty checks — where we may proceed to business, we verify company registration, VAT status and similar public information. Our lawful basis is legitimate interests, namely preventing fraud and meeting our own compliance obligations.
- To meet legal and tax obligations — where we contract with you, our lawful basis is compliance with a legal obligation.
- To protect the website — our lawful basis is legitimate interests in keeping our systems secure.
We do not use your information for automated decision-making or profiling, and we do not send marketing to you unless you have asked us to.
4. Who we share it with
We do not sell your personal information, and we do not share it with third parties for their own marketing. We share it only with:
- Our website and form hosting provider, which stores enquiry submissions on our behalf and forwards them to us.
- Our email provider, through which we receive and reply to your message.
- Professional advisers, banks and inspection agencies, where this is necessary to perform a transaction you have asked us to carry out.
- Authorities or regulators, where we are required by law to do so.
5. Transfers outside the UK
Some of our service providers, including our website hosting provider, are based outside the United Kingdom and your information may be processed in countries whose data protection laws differ from the UK's. Where that happens we rely on appropriate safeguards, such as International Data Transfer Agreements or standard contractual clauses, so that your information continues to receive an equivalent level of protection.
6. How long we keep it
- Enquiries that do not lead to business — we keep them for up to 24 months, then delete them.
- Records relating to transactions — we keep these for at least six years after the end of the relationship, to meet accounting, tax and legal requirements.
7. How we protect it
The website is served over an encrypted connection (HTTPS). Access to enquiries and correspondence is limited to those in our business who need it. We do not store payment card details on this website, and we will never ask you to send bank details or passwords by email.
8. Cookies
This website does not use tracking or advertising cookies, and we do not run analytics or advertising scripts on it. Our hosting provider may set strictly necessary cookies required to deliver the site securely. If we introduce analytics in future, we will update this policy and ask for your consent first where the law requires it.
9. Your rights
Under UK data protection law you have the right to: be informed about how we use your data; request a copy of it; have inaccurate data corrected; request erasure; restrict or object to our processing; request portability of data you provided; and withdraw consent at any time where we rely on it.
To exercise any of these rights, email sales@moorgatemetals.com. We will respond within one month. There is normally no charge.
10. Complaints
If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised.
